RE: SEASAC Arts - 19 - 21 January 2018

Moving on from the SEASAC Arts skype meeting Frazer led at the end of last academic year Nick Dunn (Chair of East Activities), Gavin Dinsdale (East HS Activities Coordinator), Steve Hickey (East Art) and myself met at East yesterday to look at how we can get the SEASAC Arts \'show on the road\'.

We made the below tentative timeline and logistical decisions but ostensibly I am writing to ask whether it is possible to release Jonathan, Nicki and Lucia next monday for a cross campus Arts planning meeting which we plan to host here at Dover 12.00 - 1.30pm? This meeting would focus on the theme for the conference, the workshops, taster sessions and any associated trips into SG. It would mean freeing and covering these staff (as it is unlikely staff on both campuses will be free at one time otherwise) which I appreciate is not easy at this time of the term.

Assuming Nicki, Jonathan and Lucia are ok with this arrangement (which might not be the case!) could you drop me a line to advise whether that is possible and then i\'ll go ahead to coordinate with Steve at East and book venues.

Timeline

June - Initial cross campus meeting. Frazer to coordinate. Conference date confirmed - 19 - 21 January. Venue established as Dover. Hotels booked. Conference centre and main hall booked at Dover.

Sept - Meet 2. Nick, Steve, Gavin, Mike. Establish timeline & main job allocations. Steve to coordinate arts input. Gavin - website and sign up for workshops/tasters. Nick - budget. Mike - accommodation, meet & greet, catering & gala dinner, invitation.

Sept - Invitation to member schools out. Initial numbers and student names established (10 per school) . Conference Arts staff asked to offer workshops.

Sept - Arts meeting to confirm conference theme (suggested \'Diversity\') and associated work shops, taster sessions, SG trips. At Dover - monday 18 12.00 noon?

Sept - Website skin and basic data complete

October - Workshop \'choices\' made and workshop numbers confirmed.

October - website complete with all info

November - transport (airport transfers, hotel - dover trips, SG trips) finalised and booked. Catering finalised and booked. Invoices sent to schools attending.
