Office 365 Deployment at Chappelow Door Mind Map: Office 365 Deployment at Chappelow

1. Staff Benefits

1.1. How do we want to go about conducting training s?

1.1.1. Do you like the video idea?

1.1.1.1. I think we would also need a couple formal training

1.1.1.1.1. Here is a link to the video page I created for the Google Drive deployment(click on the arrow)

1.2. Could take the place of a LMS

1.2.1. It looks like the district is rolling out Schoology this year

1.3. It could be a place for teachers to

1.3.1. Save teaching files

1.3.1.1. Save and share important documents

1.3.1.1.1. Collaboratively work on documents or project with students or staff

2. Student Benefits

2.1. Prepares them for the 21st century

2.2. It sounds like specific student data will be put online and shared with specific grades/teachers. This will allow teachers to have more access to student data

2.3. Students could have access to specific parts of our shared drive (only areas that would benefit them, like access to field trip forms)

2.4. Students can no longer "lose their home work"

3. Training Ideas

3.1. A formal two hour training in early September for the staff

3.2. Follow up informal training's done through out the year

3.3. Online video training s for both students and staff

3.3.1. How will kids access it

3.3.1.1. Where will we host the videos?

3.3.1.1.1. Video Topics

3.3.1.1.2. How to access email accounts

3.3.1.1.3. How to create a document

3.3.1.1.4. How to create a folder

3.3.1.1.5. How to share a document and folder

3.3.1.1.6. Things to think about when shareing

3.3.1.1.7. How to create a survey or test

3.3.1.1.8. What documents have been uploaded

3.3.1.1.9. How to create your own learning management system or LMS

3.3.1.1.10. Privacy Concerns

3.3.1.1.11. Types of docunents you can create online

3.3.1.1.12. How Office 365 works with your school computer in regard to saving

3.3.1.1.13. How to share photos to a folder

3.3.1.1.14. How to use office 365 with your school web page

3.4. Do we make these videos Chappelow specific or D-6 specific so that other people in the district could use them

3.5. Focus on getting one person per grade level who is highly trained and can become the point person for that grade level

4. It sounds like this need came from the desire to put certain documents of the shared drive up online. How do we decide what goes up there and what does not?

4.1. If we don't put all or most of the shared folder up online then people might still work out of the shared folder and would mix up our data and files on the cloud

4.1.1. The district should be able to restrict editing to folders on the shared drive, this would prevent the mix up, but we would need to check on that (I believe that their Active Directory should be able to do it)

4.1.2. Is it possible to make some info on the cloud "read only" so this info isn't edited to look differently than what is on the shared folder? Info that is to be edited could possibly only be put into the cloud until it is finalized. At the time of finalization it could be changed to read only and uploaded to the share drive.

4.2. At this point we will need to really talk about privacy settings both between us and with the staff.

4.3. I believe we need to decide what staff would need to be able to see at home. Unfortunately, this is probably the most sensitive of data (test scores, etc.).

5. Problems that will need solutions

5.1. We will need an office 365 general account that will never be deleted.

5.1.1. If someone makes a document and then leaves the district their profile and all the documents they make get deleted. For example if Chris uploads the shared folder under his account and then years later wins the lottery and moves to a tropical island all his data will be deleted including the schools shared folder that people have been putting data into. This would make them very unhappy.

5.1.2. For very important documents and folders someone should be in charge of downloading a hard copy every month or so.

5.2. If we don't put all or most of the shared folder up online then people might still work out of the shared folder and would mix up our data and files on the clou

5.2.1. The district should be able to restrict editing to folders on the shared drive, this would prevent the mix up, but we would need to check on that (I believe that their Active Directory should be able to do it)

5.3. When and how are we going to train the students
